Privacy Policy
Performance Pay Pro ("we", "us") provides employee scorecard and performance bonus software. This policy explains what personal information we collect, why we collect it, who we share it with, and the choices you have.
Performance Pay Pro is not a payroll system and does not file taxes, remit wages, or act as an employer of record.
1. Who we are
The data controller is [CONFIRM: full legal entity name], located at [CONFIRM: registered business address]. You can reach us about privacy at [CONFIRM: privacy contact email].
2. Information we collect
Information you give us
- Account information: your name, email address, password, phone number, and company name.
- Billing information: your subscription status and payment records. Card details are entered directly with our payment processor and are never stored on our servers.
- Employee records you enter: the names of employees you add, the scorecard tasks and weights you assign, weekly scores, hours logged for a payroll period, comments, and the calculated bonus amounts.
- Documents you upload: files you attach to your account or to an employee record.
Information collected automatically
- Usage and device data: [CONFIRM: whether the app logs IP addresses, browser type, or page activity, and for how long].
- Cookies and local storage: our marketing site stores only a theme preference (light or dark) in your browser. It sets no advertising or analytics cookies. The application uses [CONFIRM: session cookie name and purpose] to keep you signed in.
- Fonts: our marketing site loads the Inter typeface from Google Fonts, which means Google receives your IP address when the page loads. [CONFIRM: whether you will self-host the font to remove this transfer].
We do not ask for, and you should not enter, Social Security numbers, government identification numbers, bank account numbers, or health information anywhere in Performance Pay Pro.
3. Employee data and your role
When you enter information about your employees, you are the controller of that information and we process it on your behalf. You are responsible for having a lawful basis to enter it, and for telling your employees that their performance is being recorded in a third-party system. We use employee data only to provide the service to you. We do not sell it, and we do not use it to build advertising profiles.
4. How we use information
- To create and secure your account and keep you signed in.
- To calculate scorecard results, performance rates, and bonus previews.
- To process your subscription and prevent payment fraud.
- To respond to support requests.
- To detect abuse and keep the service running safely.
- [CONFIRM: whether you send marketing email, and how users opt out].
5. Who we share information with
We do not sell personal information. We share it only with:
- Stripe, our payment processor, to take subscription payments. Stripe handles your card details directly under its own privacy policy.
- Our hosting and storage providers, [CONFIRM: name the hosting provider, database provider, and file storage provider], who store data on our behalf.
- Google, which receives your IP address when your browser loads our web font.
- Authorities, where we are legally required to disclose information.
[CONFIRM: list any email, analytics, error-tracking, or support tools not named above].
6. Where data is stored
Your data is stored in [CONFIRM: country or region of your servers]. If you access the service from another country, your information will be transferred there. [CONFIRM: transfer mechanism if you serve users in the EU or UK].
7. How long we keep it
We keep your account and employee records for as long as your account is active. After you cancel, we retain them for [CONFIRM: retention period after cancellation], after which they are deleted or anonymized. Billing records are kept for as long as tax law requires.
8. Your rights
Depending on where you live, you may have the right to access, correct, export, or delete your personal information, to object to certain processing, and to withdraw consent. To exercise any of these, email [CONFIRM: privacy contact email]. We will respond within [CONFIRM: response window, commonly 30 days].
If you are an employee whose performance data was entered by an employer, contact your employer first. They control that record. We will help them fulfil your request.
California residents have the right not to receive discriminatory treatment for exercising these rights. We do not sell or share personal information as those terms are defined by the CCPA.
9. Security
We serve the application over HTTPS, store passwords in hashed form, and restrict access to production data. [CONFIRM: whether data is encrypted at rest, and who on the team can access customer data]. No system is perfectly secure. If we discover a breach affecting your information, we will notify you as required by law.
10. Children
The service is not intended for anyone under 16, and we do not knowingly collect their information.
11. Changes
We may update this policy. If a change materially affects how we handle your information, we will notify you at the email address on your account before it takes effect.
